Communications that go our to the broader public and on the website should be either professionally designed or done using an approved Council template.
All design jobs are managed by the Media and Communications Team using approved designers. This includes design work requested by Council staff as well as contractors.
Graphic Design
All documents must comply with the Corporate Style Guide before they will be printed or placed on the website.
All Council publications must be approved my Media and Communications before being distributed to the public
Requesting Design Work
To arrange design work email news@cgd.vic.gov.au.
A design brief form is required to complete any design job. Contact Media and Communication to discuss your job and then fill in the design brief form and send it to news@cgd.vic.gov.au.
Allow a minimum of 4 weeks for simple jobs; longer for complex jobs.
Depending on the job requirements, it may still be recommended that we get two or three quotes from these suppliers, to ensure you are getting value for money and to keep them competitive.
Internal design work
There are some templates available for use by staff. These include document, invitation and certificate templates.
These documents rely on basic Microsoft Office skills. Media and Communications and IT cannot provide assistance on using Office programs such as Word. If you need assistance, Organisational Development runs regular training seminars or speak to your department’s admin support officer.

Canva
Some staff now have access to a range of templates in Canva. Canva should not be used by staff unless in the corporate account. And all designs must be approved by the Media and Communications Team. Contact the team to discuss setting up a login for you or your team.
Please note: If you are considering designing something yourself please talk to Media and Communications first. The last thing you want is to spend the time creating a document only to find out it’s in the wrong format or can’t be printed! Designers are great option as they often don't cost much and they leave you time get on with your day to day tasks.
Print Shop
PrintShop services
Please note: The Printshop does not charge any departments for the services if provides.
The Printshop can provide:
- Colour printing in sizes of A3, A4, and A5
- Finishing options include – Stapling, hole punching, binding and use of the guillotine
Additionally, there are options of A4 coloured paper, A4 and A5 card stocks
- Printing - A0 and A1 sized posters (One-sided only) (No finishing available)
- Laminating – A3, A4 and A5
- Scanning – Black and white and Colour
- Copying – Black and white and Colour
Job requests
Please complete the Print Shop Request Form - 22KB and send any questions via email to PrintShop@cgd.vic.gov.au. Alternatively, visit the PrintShop at the Dandenong Civic Centre on Level 5 or phone 8571 5221 during operating hours
Make sure you clearly state your job requirements in your request.
PrintShop can manage printing jobs of up to 1000 copies. Larger jobs may require outsourcing. Please contact Media and Communications for further assistance.
What needs to be included in the email that you send to PrintShop:
- Document/attachment link
- Copies required
- Desired document size
- Single sided/double sided
- If black and white or colour printing
- Any finishing requirements (hole-punch, staple, binding, guillotine)
- Any additional information which may be relevant
- Pick-up or delivery requirements. Please state your name and department if the job request is to be sent via internal mail
Please save large documents in T: Drive/Printshop or share the Objective ID of the document via email.
Opening hours
The PrintShop is open every Wednesday and Thursday from 8.30am to 4pm.
- The PrintShop is reserved mainly for Governance tasks on Wednesdays. Most other requests are completed on Thursdays.
- Requests on Thursday afternoons will likely have to be completed the following week.
- Please contact Media and Communications for assistance if the PrintShop is unavailable.
Outsourcing
In some circumstances, stakeholders may want to consider contacting Media and Communications for external options. This may be because the PrintShop does not have the equipment to meet your printing needs, there is a high volume of pending jobs, or it is simply more cost effective for Council to use an external printer.
Outsourcing will incur a fee/charge and will require an account number.
